Position Title Administrative Assistant I Research, Sr., Grants Specialist
Position Summary:

The Scripps Research Institute is currently seeking a Sr. Administrative Assistant with proven experience in the preparation and coordination of all manner of research proposals, including or with a special focus on Multi-Project and Center grants. This individual will possess an in-depth understanding of federal grant preparation guidelines as well as a working or proven knowledge of various sponsor submission systems, such as grants.gov, NIH ASSIST, NIH RPPR, NSF Fastlane. The ideal individual will have effective time management skills and ability to accurately communicate requirements to key stakeholders, including faculty, staff, leadership, both at TSRI and collaborating organizations. Will be effective at developing tools and systems related to grant preparation.


This person may also provide administrative support for all levels of faculty and staff in a large, complex lab, or multiple labs, primarily to one or more Principal Investigators (PI) as well as to lab personnel. The minimum size of the group supported varies, but generally consists of at least 18 professionals and does not usually consider Visiting Investigators or Professional Scientific Collaborators in this count unless they manage their own grant. These laboratories operate with a complex funding strategy and high level of activity. The assignment may include leading or supervising lower level Administrative Assistant(s).

Physical Requirements:

With or without reasonable accommodation, employees in this position must be able to sit and type at a computer terminal for up to 8 hours per day with appropriate breaks and perform tasks that require fine dexterity and repetitive motions using the arms, hands, wrists and fingers. Basic Qualifications:
  • High school diploma or equivalent (GED). Bachelor’s degree preferred.
  • Minimum five years directly related experience, preferably some of these at TSRI, as an administrative assistant in an environment such as medical, research, educational or legal where duties included preparing detailed and specific forms (i.e. grants, contracts, legal documents); formatting documents including inserting graphs and references; making extensive travel/meeting arrangements; supplies ordering and budgeting; reading, understanding and interpreting lengthy instructions; and independently accomplishing multiple tasks coordinating multiple sources. Candidates with a Bachelor degree and 2 years directly related experience with TSRI or similar environment may be considered in lieu of the five years experience.
  • Superior skills in grant application and preparation of supporting documentation highly desired.
  • Experience preparing complex budgets.
  • Strong interpersonal, verbal and written communication skills.
  • Effective organization, multi-tasking and problem-solving skills. Strong Microsoft Office (Word, Excel, Outlook, PowerPoint), Adobe Acrobat and Photoshop, EndNote, Dreamweaver skills and the flexibility and ability to learn new applications and systems.
  • Professional level typing (60 wpm) and editing skills.
  • Strong familiarity with PC and/or Macintosh.
  • Experience tracking, reconciling and reporting budgets and accounting expenditures. Skilled in the use of dictation/transcription system. Shorthand skills helpful.
  • Ability to work in a laboratory environment.
Preferred Qualifications:
Compensation: $22.08 - $27.60 per hour depending on experience
