Position Title Administrative Assistant III Research
Position Summary:

Scripps Research is currently seeking an Administrative Assistant III Research to provide administrative support to one or more Principal Investigators (PI) as well as to lab personnel. Duties include but not limited to:

  • Arranging and coordinating domestic and international travel including travel itinerary preparation;
  • Complicated calendaring. Multiple calendar management and maintenance;
  • Heavy proofreading, correspondence composition, editorial assistance with manuscripts and typing from dictation;
  • Assisting with grant and manuscript preparation and management, including NIH grant e-submissions, center grants and multiple subcontract grants and applications;
  • Preparing correspondence; ordering office supplies; reconciling grant budgets and tracking expenses;
  • Generating new hire requisitions and other personnel related paperwork; processing timesheets; processing requests for payment and travel reimbursements;
  • Assisting in the generation of graphics for publications and lectures;
    Performing other related duties as required or assigned.

Physical Requirements:

With or without reasonable accommodation, employees in this position must be able to sit and type at a computer terminal for up to 8 hours per day with appropriate breaks and perform tasks that require fine dexterity and repetitive motions using the arms, hands, wrists and fingers. Basic Qualifications:
  • High school diploma or equivalent (GED).
  • Minimum three years directly related experience as an administrative assistant in an environment such as medical, research, educational or legal where duties included preparing detailed and specific forms (i.e. grants, contracts, legal documents); formatting documents including inserting graphs and references; making extensive travel/meeting arrangements; supplies ordering and budgeting; reading, understanding and interpreting lengthy instructions; and independently accomplishing multiple tasks coordinating multiple sources.
  • Strong interpersonal, verbal and written communication skills.
  • Effective organization, multi-tasking, and problem-solving skills.
  • Strong Microsoft Office (Word, Excel, Outlook, PowerPoint) and Adobe Acrobat skills. Ability to learn EndNote, Dreamweaver, Adobe Photoshop. Experience preferred.
  • Professional level typing (60 wpm) and editing skills.
  • Strong familiarity with PC and/or Macintosh.
  • Experience tracking, reconciling and reporting budgets and accounting expenditures.
  • Shorthand skills helpful.
  • Ability to work in a laboratory environment.
Preferred Qualifications:
Compensation: $19.58 - $24.45 budgeted hiring range
