Position Title Administrative Assistant III Support
Position Summary:

The Administrative Assistant III-Support reports to the Director of Business Operations and performs a variety of clerical, financial and administrative duties in support of the Office of Development.

Duties and Responsibilities:

  • Perform administrative duties for the department, including opening and distributing mail, maintaining inventory and ordering supplies, scheduling meetings and travel arrangements, maintaining internal department files.
  • Assists with processing invoices, travel expense reports, general office accounts payable, keep vendor files current and accurate.
  • Assist in preparing correspondence (editing, proofreading, formatting) with donors and prospects, gift acknowledgments and stewardship communications.
  • Assist with gift and data entry, mailings, updating donor and prospect record information, generating reports (gift information, mailings lists, solicitations), retrieving research information, maintaining the integrity of the donor database and central files for the Development office.
  • Maintain the Development office calendar and conference room, reserve AV and IT assistance as needed, and coordinate conference line reservations.
  • Answer phones, respond to questions from the public (i.e. donors and vendors), greet guests, and direct inquiries as needed to appropriate staff and/or department(s).
  • Assist in coordination of donor/prospect events, tours and campus visits, includes but not limited to: registration, event invitations/mailings, pre- and post-event setup, general event logistics and updating event records.
  • Assist with special projects and communications for the department.
  • Other duties as assigned.

Physical Requirements:

With or without reasonable accommodation, employees in this position must be able to sit and type at a computer terminal for up to 8 hours per day with appropriate breaks and perform tasks that require fine dexterity and repetitive motions using the arms, hands, wrists and fingers. Basic Qualifications:
  • High school diploma or equivalent (GED).
  • Bachelor’s degree preferred.
  • Minimum of five years related experience as a senior administrative assistant, preferably in a similar environment.
  • Strong Microsoft Office skills (Word, Excel, Outlook, PowerPoint, Access) and Adobe Acrobat skills, as well as the ability to learn new programs and applications.
  • Experience using RaisersEdge, Salesforce, and/or SciQuest preferred
  • Effective organization, multi-tasking, problem-solving skills.
  • Strong interpersonal, verbal and written communication skills, and attention to detail.
  • Ability to work independently and in a team, be flexible and adaptable, willing to learn.
  • Multicultural and diversity sensitivity.
  • Ability to use discretion, exercise good judgment, and maintain strict confidentiality.
Preferred Qualifications:
Compensation: $19.58 to $24.45 per hour
