Position Summary:

The temporary Administrative Assistant reports to the Conflicts Review Officer (CRO) and provides part-time administrative support for a short-term, 6 month compliance project within the Office of General Counsel. Under direct supervision of the Conflicts Review Officer, and according to established Institute policies and procedures, this position is responsible for updating and tracking compliance in the conflicts database, including conducting conflict of interest open source searches, preparing correspondence to Scripps Research employees regarding Conflicts Disclosure compliance and routing Conflicts disclosure forms to CRO for review and approval.

Position Description

* Assists CRO in Conflicts of Interest (COI) Disclosure intake, processing and analysis, utilizing in-house Conflicts Management database, as well as Microsoft Planner, Sharepoint and other related Microsoft productivity systems.
* Assists in maintaining the integrity and confidentiality of the conflicts database by verifying information with Scripps Research employees.
* Reviews COI Disclosure forms for proper entry of related interests and travel, routes verified COI Disclosure forms to CRO for review and approval.
* Conducts open source conflicts searches in view of new Federal PHS-funding regulations and provides CRO with meaningful and concise conflicts search reports with some level of analytical review.
* Assists in clean-up of existing Conflicts Management database in preparation of conversion to new system and assists in project matter maintenance for use in downstream databases.
* Assists CRO with processing Financial Conflict of Interests (FCOI) Management plans for submission with ERA commons.
* Performs other duties as assigned by the CRO and Legal Counsel.

Uses knowledge and professional experience to quickly assess a request or situation, and appropriately refer or successfully resolve disclosure non-compliance in a timely manner based on familiarity with Federal PHS-Grants and FCOI regulations.

Effective verbal and written communication. Able to interact with all levels of Institute management and staff across multiple disciplines.

Works effectively and independently most of time; conducting database and conflicts searches, prioritizing and tracking conflicts verification schedules that impact compliance projects and work flow. Performs project requirements with instruction and with minimal supervision.

Basic Qualifications:

* College degree required (paralegal certification preferred).
* 2+ years of experience in legal compliance related position (familiarity with Federal Grants and Financial Conflicts of Interest Regulations preferred).
* Previous experience working in a research institute preferred.
* Proficient with Microsoft Office Suite (Outlook, Word, Excel, SharePoint, Planner, Forms, Teams).
* Strong verbal and written communication skills.
* Strong organization skills and ability to learn quickly.
* Ability to effectively prioritize and manage multiple tasks in a high-pressure environment.
* Must possess a cooperative, service-oriented attitude.
* Demonstrates exemplary track record in maintaining confidential information.
