Position Title Executive Assistant II
Position Summary:

Provides executive level administrative support to the Director of the Scripps Research Translational Institute (SRTI)/Executive Vice President of Scripps Research, and general administrative support to SRTI’s executive office staff.

* Provide a high level of administrative support to the Director/EVP, including heavy calendar, meeting planning and travel management.
* Coordinate high level meetings, including executive and board meetings, research program meetings, and other management/executive meetings.
* Independently prepare, review and approve Request for Payments, input requisitions in SciQuest database, prepare expense reports for reconciliation.
* Prepare a wide variety of reports, letters, and memos, while maintaining confidentiality.
* Screen office visitors and phone calls, maintain records on compliance and regulations, procedures, systems, and precedents, receive and route mail for department.
* Maintain positive relationships with executive team, faculty and administration staff.
* Regularly correspond with external and internal collaborators, including Scripps Research faculty, investigators, department manager, and administration, responding to questions and providing information pertaining to procedures and services in a clear, concise, and professional manner.
* Disseminate information to and collect information from SRTI faculty, managers and executive leadership for the purpose of work coordination, problem resolution, and information sharing.
* Perform other duties and projects as assigned.

With or without reasonable accommodation, employees in this position must be able to sit and type at a computer terminal for up to 8 hours per day with appropriate breaks and perform tasks that require fine dexterity and repetitive motions using the arms, hands, wrists and fingers. Basic Qualifications:

* High school diploma, or equivalent combination of education, training and experience.
* Bachelor’s degree preferred.
* 10+ years progressive experience in executive management support as executive assistant.
* Experience working in a medical research institute preferred.
* Proficient and advanced skills with Microsoft Office (Outlook, Word, Excel, and PowerPoint).
* Excellent written and verbal communication skills.
* Experience with receiving and organizing financial and technical documents and information.
* Advances organizational skills with high attention to detail and excellent customer service.
* Must be self-directed, with the ability work independently and prioritize multiple tasks, work under pressure with shifting priorities and meet deadlines.
* Proficient skills and ability to work with a diverse work group and individuals at all staff levels; maintain diplomatic and respectful interactions.
* Must be able to work in a team environment and convey positive work ethic to complete any task as requested.
* Must maintain confidentiality and use discretion when dealing with sensitive issues and information.
