Position Summary:
Position Description

The Executive Assistant will provide specialized administrative support to the EVP of the Office of Research & Academic Affairs (R&AA), for the R&AA management team, and will be responsible for oversight of related special projects.

* Provide a high level of administrative support to the EVP, as well as general support for the management team.
* Responsible for maintaining financial information and budgets related to research and academic affairs divisions.
* Prepares financial reports for management and OSP.
* Coordinates high level meetings, including executive and board meetings, faculty meetings, and other management meetings.
* Heavy calendar, phone and travel management support.
* Independently prepare, review and approve Request for Payments, submit and track purchasing requisitions, prepare expense reports for reconciliation.
* Prepare a wide variety of reports, letters, and memos, while maintaining confidentiality.
* Screen office visitors and phone calls.
* Maintain records on compliance and regulations, procedures, systems, and precedents.
* Recommend improvements in workflow, procedures, and forms related to administrative support functions.
* Maintain positive relationships with executive team, faculty and administration staff.
* Regularly correspond with faculty and executive team, responding to questions and providing information in a clear, concise, and professional manner.
* Both collect and provide information from various campus groups for the purpose of work coordination, problem resolution, and information sharing.
* Perform other duties and projects as assigned.

Physical Requirements:

With or without reasonable accommodation, employees in this position must be able to sit and type at a computer terminal for up to 8 hours per day with appropriate breaks and perform tasks that require fine dexterity and repetitive motions using the arms, hands, wrists and fingers. Basic Qualifications:

* Bachelor’s degree in a relevant scientific discipline or an equivalent combination of education, training and/or experience from which comparable knowledge, skill and abilities have been attained.
* 5+ years of related administrative experience in a professional environment.
* Administrative experience in an academic environment preferred.
* High level of integrity in dealing with sensitive information.
* Ability to work independently and as a team member.
* Recognize priorities, work well under pressure, ability to meet deadlines.
* Strong Microsoft Office skills (Outlook, Word, Excel, PowerPoint).
* Demonstrated analytical, organizational and record keeping ability.
* Exercise good judgment, discretion and honesty.
