Provides administrative support in the areas of recruitment, employee onboarding, training and other HR projects. Examples of duties include: Scheduling interviews Maintaining requisitions using applicant tracking system Running background checks Coordinating reference checks Scheduling meetings and orientations Prepares offer letters and welcome letters Conducts new hire check-in, updates electronic I-9 records, and processes new hire documents Provides first level of applicant tracking system troubleshooting and technical assistance Posts and updates job openings on various websites and job boards Works with hiring departments to collect missing information, documents, and work permits for new hires Greets and provides assistance to job applicants, visitors and employees Answers and directs incoming department calls Provides back-up coverage to front desk receptionist Provides clerical and administrative support to HR Training function Provides administrative and project assistance to all HR functions as assigned including benefits and HR Records. Performs other duties as assigned.
With or without reasonable accommodation, employees in this position must be able to sit and type at a computer terminal for up to 8 hours per day with appropriate breaks and perform tasks that require fine dexterity and repetitive motions using the arms, hands, wrists and fingers. High school diploma or equivalent with 5+ years of related experience in an HR environment or Bachelor’s degree with 1+ years of related experience. Extremely detail oriented and resourceful. Articulate and professional with excellent telephone and email etiquette/grammar. Ability to work effectively as a team member including flexibility, adaptability and willingness to learn. Ability to maintain strict confidentiality and demonstrate discretion. Effective interpersonal, verbal and written communication skills. Outgoing personality with ability to present to small groups (less than 30 people). Ability to tactfully and gracefully handle interruptions and unforeseen situations. Effective organization, multi-tasking, and problem solving skills. Working knowledge of a variety of electronic systems, office equipment and computer programs; ability to learn and master new electronic systems and software programs with basic training and written procedures/instructions. Experience with an online recruiting system highly desired.
